The Video Visit GuideBy Next Step Psychiatry

Practical patient preparation

Your video-visit preparation worksheet

Use this worksheet before a scheduled psychiatry video appointment. The aim is to reduce preventable distractions so you can focus on the conversation. The clinic’s instructions take priority, and any readiness check here is a preparation aid rather than medical advice.

Check the appointment details

Find the confirmation message and verify the date, time, and time zone. Identify the joining link or access instructions, and ask the clinic if anything is unclear. Save its phone number somewhere you can reach without the video connection.

Confirm the state where you will physically be for the visit. If you will travel or your plans change, contact the clinic before assuming the appointment can go ahead. Ask whether forms or records are needed and clarify expected charges.

  • Appointment time and time zone
  • Joining instructions available
  • Physical location confirmed with the clinic
  • Forms and payment questions addressed

Give the setup a trial run

Choose a place where you can hear clearly and speak privately. Check that your device is charged and stable. Test your camera, microphone, and sound, and position yourself where your face is visible. Open the appointment instructions early enough to ask for help if needed.

Think about practical interruptions such as other people entering the room or alerts appearing on your device. Ask the clinic in advance about accessibility, interpreter, or captioning needs. Do not attend while driving or running errands.

  • Camera and sound checked
  • Connection tested
  • Private space arranged
  • Office number accessible

Make the conversation easier to use

Keep your medication list, allergies, and important questions beside you. Identify the concerns you most want to cover, and leave space in your notes for the agreed next steps.

At the beginning, confirm your current location and callback number. Ask what to do if the connection fails, including which person should call back. A technical problem does not mean that every visit can continue by phone.

Before ending, ask for clarification if you are unsure about the plan, follow-up timing, or how to contact the clinic. Scheduled visits are not emergency services: call 911 for immediate danger or a medical emergency, or call or text 988 for mental health crisis support.
